Full-Time Office Based (37.5 hours)

Background Information:
This is an office based position with occasional visits to clients to support meetings and events. There may be a small amount of UK travel with overnight stays but the dates are planned as far in advance as possible. We don’t offer home based or hybrid working as this doesn’t suit the varied and collaborative teamwork that is required. Office hours are Monday to Friday.

We work as a team to deliver customer service, board and committee support, business and finance roles and event organisation to our clients and their members. We are trusted advisors to a wide range of organisations and we are constantly learning how to help them improve and grow.
We are currently a small team but we’ve grown significantly over the last few years and we expect to continue to do so.
Person Specification:
This role will suit a capable, confident, self motivated problem solver, both to support the volunteer board members running the organisations we work with and provide their first line customer facing service.
Our team come from a wide range of backgrounds but a flexible attitude and willingness to learn are the most important skills.
Notes:
- You MUST be able to drive and have your own transport due to the rural location of the office and the requirement to transport equipment to events and courses.
- The successful applicant will be required to undergo basic security vetting which includes a criminal record check and references
- As this is a client facing role there is a strict dress code which excludes visible tattoos (ie, those which can’t be covered with clothing), unnatural hair colours and facial piercings

Desirable Experience:
- General bookkeeping knowledge and experience of using Xero is preferred but not essential.
- Experience of minute taking would be a strong advantage for this role.
- Some experience of working in a customer facing role (eg, hospitality) or volunteering would be an advantage but is not essential
The Role:
Every administrator will undertake the full range of support services for their client, which may include but is not limited to:
Customer service:
- Respond to emails and telephone calls
- Process membership requests/renewals
- Produce eshots and newsletters
- Monitor social media
Board support:
- Organise board meetings
- Produce agendas and reports
- Attend meetings and produce minutes
- Monitor and ensure completion of actions arising
- Support board members with projects where required
Business and Finance:
- Basic bookkeeping using accounting software
- Monitor annual renewals (insurance/website hosting/ICO payments etc)
- Seek approval for invoices and make payments
- Create invoices for memberships and events
- Monitor income and provide effective credit control
- Produce VAT returns
- Assist with year end procedures for submission to the accountant
Events:
- Organise events as required. These could include meetings, seminars, conferences, training courses, networking events etc.
- Plan dates, times, number of attendees
- Organise venue and catering
- Book speakers/trainers/hosts
- Advertise the event
- Process bookings from delegates and guests
- Help to produce any presentation material as required, electronic or hard copy
- Produce and assemble delegate packs
- Attend to set up venue before delegate arrival
- Provide reception facility and first point of contact for venue and delegates
