General Roles at Cygnul

It is essential applicants have their own transport due to the rural location and the requirement to transport equipment to meetings and events.

Please note the roles are office based and DO NOT allow regular Work From Home.

  • Salary: In line with the Real Living Wage
  • Location: Hanley Swan, Worcestershire
  • Office Hours: Monday-Friday 9-5
  • Benefits: 20 days holiday, plus 3 days over Christmas, plus bank holidays (pro-rata for part time)

Notes:

  • Successful applicants will be required to undergo basic security vetting which includes a criminal record check and references
  • As this is a client facing role there is a strict dress code which excludes visible tattoos (ie, those which can’t be covered with clothing), unnatural hair colours and facial piercings

Person Specification:

The roles suit intelligent, self motivated problem solvers.

Attitude and an ability to learn is more important than specific skills as in-house training and support will be provided.

  • Curiosity and enthusiasm to learn
  • Empathy
  • Self-motivation

Skills:

  • Experience of note taking (experience gained outside a work environment will be considered eg, as a student)
  • Some experience of working in a customer facing role (eg, hospitality) or volunteering would be an advantage but is not essential

The Role:

At Cygnul we work with a diverse range of clients across the not for profit and professional membership sectors.

Our full service includes member engagement, administration, finance, events and management reporting. We also have a number of clients for whom we provide independent minute taking support.

Our business model is to assign an individual lead to each client so that the board and their organisation’s members have a trusted point of contact they can build a solid relationship with. A second team member is also assigned to the organisation to provide resilience and act as a sounding board for any potential improvements to the service.

Every administrator will undertake the full range of support services for their client, which may include but is not limited to:

Administration:

  • Respond to emails and telephone calls
  • Process membership requests/renewals
  • Maintain databases and CRMs
  • Produce eshots and newsletters
  • Monitor social media

Secretarial support:

  • Organise board meetings
  • Produce agendas and reports
  • Attend meetings and produce minutes
  • Monitor and ensure completion of actions arising
  • Support board members with projects where required

Business and Finance:

  • Basic bookkeeping using accounting software (XERO)
  • Monitor renewals of items like insurance/website hosting/ICO payments
  • Seek approval for invoices received and make payments
  • Create invoices for memberships and events
  • Monitor income and provide effective credit control
  • Produce VAT returns
  • Assist with year end procedures for submission to the accountant

Events:

  • Organise events as required. These could include meetings, seminars, conferences, training courses, networking events etc.
  • Plan dates, times, number of attendees
  • Organise venue and catering
  • Book speakers/trainers/hosts
  • Advertise the event
  • Process bookings from delegates and guests
  • Help to produce any presentation material as required, electronic or hard copy
  • Produce and assemble delegate packs
  • Attend to set up venue before delegate arrival
  • Provide reception facility and first point of contact for venue and delegates
